What will you be doing?
You will play a pivotal role in coordinating and overseeing the smooth, day-to-day operation of our Milton HQ office. This position ensures the workplace is welcoming, well-maintained, safe, and functional, while enhancing the overall experience for both employees and visitors. The role involves close collaboration with employees, the People & Culture team, building management and external suppliers to achieve a positive, organised and engaging office environment.
What Your Day-to-Day Will Look Like
Support the smooth day-to-day operation of the office, ensuring that shared spaces (dining areas, balconies, amenities, and meeting rooms) are tidy, functional, and welcoming.
Assist with general office coordination and administration, including handling mail and deliveries, monitoring office inboxes and voicemails, managing supplies and catering, and supporting basic office systems.
Manage stationery, office supplies and consumables, including ordering, tracking stock levels and anticipating future needs.
Assist with meeting and workspace setup, including arranging furniture layouts, preparing refreshments and ensuring rooms are ready with required equipment.
Act as the main point of contact for building management, logging and coordinating maintenance or facilities issues and supporting contractors and service providers while on site.
Support access requests, visitor coordination and car park arrangements (including visitor parking) to ensure a professional and seamless visitor experience.
Support internal events and office activities, including logistics, room and equipment setup, pack-down and general on-the-day coordination.
Assist with office communications, decorating and presentation for events or seasonal activities to create an engaging and welcoming environment.
Support office-based work health and safety activities by identifying hazards or incidents, taking appropriate immediate actions and escalating to the People & Culture team as required.
Coordinate corporate travel bookings when required, ensuring details are accurate and aligned with internal guidelines.
What You'll Be Able to Bring to the Role
Proven ability to build positive relationships and work effectively with employees across all departments, building management, and external suppliers.
Strength in juggling multiple tasks and requests at once, while keeping the office organised and running smoothly.
Clear written and verbal communication skills for coordinating with stakeholders, handling office communications, and providing clear instructions.
Attention to detail in managing office supplies, bookings, visitor arrangements, and facilities issues.
Ability to work independently in a fully office-based, fast-paced environment, taking initiative to identify and resolve issues before they escalate.
Experience in office administration, coordination or facilities-related roles, ideally including interaction with building management or external service providers.
Salary Banding $70,000 - $80,000 + Super
